BatNote Ltd ("BatNote", "we", "our", or "us") respects your privacy. This Privacy Policy explains how information is handled when you use the BatNote mobile application and the BatNote website.
BatNote is a field-first iOS application designed for professional ecological workflows, helping surveyors record bat emergence and re-entry survey observations and generate structured reports.
Survey Data
BatNote allows users to record survey information such as site locations, GPS coordinates, OS grid references, survey times, weather conditions, equipment used, bat species observations, notes and photographs.
Survey records are stored locally on the user’s device and are not uploaded to BatNote cloud services. Limited information may be sent to third-party services where required to provide features such as weather information, as described below.
Users may choose to export their survey information as a PDF report.
Report Generation
BatNote can generate PDF survey reports using the data recorded within the app. These reports may include survey metadata, environmental conditions, site maps, observation logs and user notes.
Reports are generated locally on the device. BatNote does not receive or store copies of generated reports.
Location Information
BatNote may use device location services to determine survey coordinates, generate OS grid references, display map locations and retrieve weather data relevant to the survey.
To retrieve weather information, the relevant survey location and time may be sent to a third-party weather provider. BatNote does not use location information for advertising or tracking.
Location information recorded as part of a survey remains stored locally on the user’s device unless the user includes it in an exported report.
Weather Data
BatNote may retrieve weather information from third-party weather services based on the survey location and time. This may include temperature, wind speed, humidity, cloud cover, sunset times and moon phase.
This information is used only to support ecological survey documentation.
Website Analytics
We may use privacy-friendly analytics to understand basic website usage, such as page visits, device type or general region, in order to improve the BatNote website.
BatNote does not sell personal data.
Android Pioneers Programme Applications
If you apply to the BatNote Pioneers Android Programme, we collect the contact, professional, Android device and programme information you provide. Your application is sent to BatNote's application spreadsheet so we can confirm the details provided and contact approved participants as Android development and testing progress.
We welcome applications from genuine participants and normally approve complete applications after a basic eligibility check. We do not use programme consent for unrelated marketing, and you may ask us to remove your application at any time.
Account and Profile Data
BatNote stores basic account and profile information, including your account identifier, name and email address, using a third-party cloud authentication and database provider. This information is used to authenticate your account, display your profile, pre-fill relevant profile fields and synchronise profile information across devices.
Account and profile information is not used for advertising or tracking.
Data Retention
Android programme applications are retained only as long as necessary to review applications, plan development and testing, and contact participants. You may request deletion of your application at any time by contacting us.
Survey data remains stored locally on the user’s device until it is deleted by the user or the associated BatNote account is deleted.
Basic account and profile information is retained in the cloud while the account remains active. When the user deletes their account, the associated Firebase Authentication account and Firestore profile are deleted.
Service Providers
BatNote uses Google Firebase to provide authentication and cloud database services. Google Firebase processes account and profile information on BatNote’s behalf only as necessary to provide these services.
Service providers are required to handle personal information appropriately and protect it consistently with this policy.
Data Security
BatNote is designed with a privacy-first approach. Survey records and generated reports are stored locally and are not uploaded to BatNote cloud services. Limited location and time information may be sent to weather providers as described above.
Users control when reports are exported or shared.
Children's Privacy
BatNote is designed for use by professional ecological consultants and is not intended for use by children.
Changes to This Policy
We may update this Privacy Policy from time to time. The latest version will always be available at batnote.app/privacy.
